The Pool Owner's Seasonal Transition Checklist: Fall to Freeze Watch
Summer is ending. Your pool service customers are about to ask you the same questions they ask every year — and if you don't have a system ready, you'll be answering them one at a time on your phone while you're still on route.
Here's our complete seasonal transition checklist, organized by what you do in October vs. November vs. freeze watch mode. Print it, share it with your techs, and stop reinventing the wheel every October.
October: The Transition Month
- □ Notify customers of winter service schedule changes (email + text)
- □ Begin reducing chlorine levels in pools as temperatures drop (adjust chemical pricing for reduced usage)
- □ Check heater operation on every pool with a heater — most first failures show up in October
- □ Inspect and clean salt cells if applicable
- □ Note pool equipment age and warranty status in your records for each customer
- □ Start freeze protection planning for customers in zones that see occasional freezes (most of FL, parts of TX)
- □ Review your freeze service pricing and communicate it before you need it
November: Winterization Preparation
- □ Complete filter cleanings before holiday demand
- □ Test freeze protection on automated controllers where installed
- □ Update customer records — who has freeze guards, who needs manual covers
- □ Schedule one-time deep cleans for customers who will close pools
- □ Finalize winter pricing adjustments and communicate to all customers
- □ Order winter chemical inventory (antifreeze, algaecide, winterizing kits)
Freeze Watch Mode (When temps drop below 40°F forecast)
- □ Activate freeze protection systems where installed — verify pump run times and sensor function
- □ For customers without freeze protection: send alert with specific instructions (run pumps continuously, cover equipment)
- □ Have emergency contact protocol ready — techs on call for pipe freeze events
- □ Post-freeze inspection checklist ready (pump baskets, pipes, heaters, skimmer damage)
- □ Customer communication script ready for freeze service calls — set expectations on pricing and response time before the freeze hits
The part nobody says out loud
Freeze events are your highest-margin, least competitive service opportunity. When pipes freeze at 2 AM, nobody is shopping for price — they're shopping for availability. Have your pricing set, your communication ready, and your techs briefed before the first freeze warning of the year.
